Step by step

How to create and install your email signature

  1. 1

    Fill in your details

Enter your name, job title, company, phone, email, website, and social profile links. Add a photo or logo to make the signature instantly recognizable.

  2. 2

Pick a layout and accent color

Choose a modern, classic, or minimal layout. Match the accent color to your brand so emails feel like an extension of your business.

  3. 3

    Preview the signature

See exactly how the signature will render in Gmail, Outlook, and Apple Mail. Verify links work and the photo is sized correctly.

  4. 4

Copy and paste into your email client

One click copies the HTML to your clipboard. Open Gmail or Outlook settings, paste into the signature box, save — and every email you send is on-brand from now on.

Frequently Asked Questions

Yes. Easyly's Email Signature Generator is free to use with no signup required to preview. Enter your email when you're ready to export the HTML — we'll email it to you so you can paste it into Gmail, Outlook, or any email client.

Copy the generated HTML, open Gmail, click the gear icon → "See all settings" → "General" tab → scroll to "Signature" → click "Create new" → paste the HTML into the signature editor → "Save Changes" at the bottom. Every email you send from then on includes the new signature.

In Outlook for Web: Settings → "Mail" → "Compose and reply" → paste under "Email signature" → save. In Outlook desktop: File → Options → Mail → Signatures → New → paste the HTML → save. Make sure HTML formatting is enabled in the editor.

Yes. The HTML is designed to render correctly in Gmail, Outlook, Apple Mail, Yahoo Mail, and most modern email clients on iOS and Android. Some apps (like older Outlook versions) may strip background colors — the layout still works, just less colorful.

Yes. Upload a square logo (PNG or JPG, ideally 200×200 pixels or larger) and the generator embeds it as an image link. For best deliverability, host the image on a public URL — image attachments via clipboard sometimes get stripped by email clients.

For a single user, use this generator. For 5+ team members with consistent branding, Easyly's CRM lets you set company-wide email templates with merge tags so every team member's signature is automatically populated with their own details.
